POSITION OVERVIEW

Seeking a mature, accomplished, high-energy Executive Assistant (EA) to provide support to the Founder of a consulting firm involved in a large number of professional, business and philanthropic, endeavors. Based out of Southwestern Florida, this role requires exacting attention to detail, superior time and task management skills, flexibility, a proactive, collaborative working style, and exceptional organizational skills. This position requires uncompromising discretion, and professionalism, and the availability to travel (several weeks a year) as needed to maintain continuity of service.

The Executive Assistant will report directly to the Founder, acting as a primary point of contact and liaison with other key staff, but will also need to enjoy working independently. The successful candidate will demonstrate calm under pressure, the ability to take direction and put the needs of the Founder first. Responsibilities of this position include but are not limited to research, archival, organization, managing and coordinating the Founder’s professional calendar and contacts, including scheduling and executing meetings, travel and business obligations, as well as supporting the Founder with the execution of special projects related to their professional, business and philanthropic dealings. This individual will be familiar with data collection and retrieval software to manage existing and future document management.

The nature of the role is ideally suited for candidates with experience assisting C-Suite Executives in their entrepreneurial, philanthropic and personal endeavors. The ideal candidate would have experience in a similar role and would be seeking a long-term placement. Relocation considered for the right candidate.

SPECIFIC EXPERIENCE REQUIREMENTS

  • Highly discrete and loyal. Proven ability and experience in handling confidential matters when discretion is required. Experience supporting a Founder and coordinating with numerous business entities and organizations preferred.
  • Perform research and work in archives through whatever medium may be appropriate. Tasks will include working closely with the Administration Specialist to maintain current and historical records and development of a physical and digital filing and retrieval system to include meetings, memos, emails, conferences, books, etc.
  • Effective document management including the entry of current and backlogged data into collective/storage software including personal notes, emails, books, memos, etc. Transcribe handwritten notes to input into retrieval systems for rapid reference.
  • Excellent verbal/written communication skills and the ability to communicate effectively with the Founder concerning project progress, problems and other information of interest.
  • Create and maintain itineraries for meetings, conferences, teleconferences and travel including preparation of meeting materials, agendas, organization, and confirmation of attendees, note taking and attendance at meetings.
  • Management of special projects as assigned including research and preparation of executive summaries, management of project-related correspondence, etc.
  • Planning, organization, and management of a variety of executive meetings, conferences, and gatherings, including communication with travel agents, flight team and estate operations staff in in support of related travel logistics.
  • Accurate and timely support of multiple dynamic calendars and diaries.
  • Efficient, highly organized with superior judgment and problem-solving skills.
  • Active collaboration with others, to include Property Management, Venture Capital, Legal, Archival and Business Entity team members while thriving in an independently driven environment where the expectation is little daily direction or feedback from the Founder.

EDUCATIONAL AND TECHNOLOGICAL QUALIFICATIONS

  • College degree preferred with a minimum of 5 years assisting a C-Suite Executive, ideally in an entrepreneurial, start-up or legal environment. Candidates with prior military service will be given special consideration.
  • Advanced knowledge of both Microsoft and Apple products with demonstratable proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Proficiency in physical and digital filing, search and retrieval systems. Experience with retrieval software programs a plus.
  • Experience managing Social Media web and mobile platforms.
  • Analytical Internet Research experience and knowledge of internet sites search engines, HTML blogs, and other internet applications.
